B students, be proud!

I saw an article like this one last month and it made me smile. Yep, I was a B student!

I graduated from high school with a 3.25 GPA and from college with a 2.75 GPA. Not exactly what mom and dad hoped for, yet paid a lot of money for, but it really did all turn out. I’m 49 years old, semi-retired and working about 10 hours per week.

This article explains it pretty well.

After reflecting on this notion about B students as CEOs and Leaders, I have so appreciated being in that crowd! It makes great sense. I’m competent in a lot of parts of business and not an expert in any of them. I’m 85% knowledgeable about Marketing, about HR, Finances, Operations, Sales, Lead Generation, Management, etc. I know when I’m out of my depth and it’s time to call my attorney, CPA, bookkeeper, insurance broker or coach. I’m not afraid to say, “I don’t know what you’re talking about. Please explain.”

It turns out that my super power (taught in no high school or college class) has to do with leadership and people development. A mix of emotional intelligence and spending years learning about the design of human beings somehow led me to a place where I cherish being a leader of people, a developer of great people and making the biggest difference I can for those around me.

Partnership: The Key to Growth

You need partners to be able to grow, and I’ve been incredibly fortunate in this world. Meet my great friend, Dorian. Here we are five years after I founded this firm, Athena Executive Services. She no longer works for me, but we are still very close. She’s now married, has had her first baby, and is the Chief of Staff for a great company that was previously our client. She was a key player in the building of this firm for the first four years.

I would brainstorm with Dorian. I thought things through with her. She was my sounding board and my cheerleader. She was also the first person that I turned over some of the operations of the company to. After a couple of years, I turned over to her our vetting, screening, and development process that all team members go through before joining our team. She continued to serve our clients, but soon she was managing this important part of the business that was critical to our success.

She honed and improved our vetting process along the way. We have yet to post a job opening anywhere. The right people find their way to us and apply, and the right people make it through the screening process. In my great fortune to get to work with Dorian I learned how to delegate not just tasks and projects, but a whole system that is a key part of our business and has been a critical to our success.

This month I got to see her in person at a coffee shop briefly. It was the first time in 18 months getting to see her in person. I was two states away from home. She drove 90 minutes from one side of LA to the other, just to see me. It was such a treat to see her, and I’m forever grateful for all of the obstacles she went through with me in the building of the company.

Approximately half of all businesses close in the first five years. Proud to have made it past that threshold! Partnership was the Key!

 

 

The Joy Of Not Being Accountable

A few weeks ago I wrote this blog on how I was preparing to completely relax and recharge on my upcoming vacation. Well… I did it! I did the real work and it paid off. The Operations Manager at Athena, Jennifer Tracy, was a Rockstar. It wasn’t all smooth sailing while I was gone, and she did really well with the challenges that came at her. She didn’t shy away from them, or say, “We’ll wait until Gina returns from vacation and sort that out.” She kept moving all things forward.

I read NO email while on vacation for 10 days. None. I pushed my email app off of my home screen, so that I’d have to be a real culprit and go digging for it if I wanted to read my email. I managed to not be a culprit.

When I returned from vacation, Jennifer and I debriefed. This is when you learn the real strength of your people. I said to her, “Ok, start with the worst stuff first.” She did and it turns out he “worst” wasn’t that bad, partly because she knows better than to let issues fester. She swoops in, rolls up her sleeves and takes action to get things resolved quickly. Hallelujah!

Why am I so adamant about turning everything over so thoroughly when I go on vacation? Why not just check my phone a little bit each day? What I have discovered is that the most rejuvenating and re-fueling and nurturing part of time off or vacation, is not the location you’re going to, or what you do or don’t do while on vacation, but rather that you have the opportunity to not be accountable for your usual work and projects, for a period of days. That is what allows me to mentally, physically and emotionally recharge – the lack of accountability, more so than the pina colada on the pool deck (and that’s cool too!).

The more you “give” in life and the more you provide for others, the more you need to recharge, and knowing how to recharge is critical.

Matthew Jarvis: The real list of what one Executive has delegated to his Assistant

This newsletter was shared by one of our clients and it really captures why one would have a virtual executive assistant:

Hi,

In theory, delegation should be the simplest of tasks. Simply ask/pay someone else to do it. The reality is that for most people, delegation seems nearly impossible. The great irony of this is that you already delegate 99.9% of the products and services in your life, all without a second thought.

For example, when have you questioned your having delegated products/services such as: making toilet paper, programing software, weaving fabric, mining lithium for your cell phone battery, generating electricity, etc?

In other words, you are already a master delegator, so let’s hand off just a few more things.

For your inspiration, below is a list of all the things I delegated to my Virtual Executive Assistant (Alison) over the last 6 months. Did she do these tasks better than I would have done myself? Sometimes, but certainly not always. Did she save me massive amounts of time that I was able to use on activities worth 25x her hourly rate?

Yes.

By the way, these are just a fraction of the things in my life/practice that I delegate to other people and/or technology AND it doesn’t include all of the things I simply eliminated.

Starting TODAY, what are three things in your life that you can either Eliminate or Delegate, be it to a person, a company and/or technology?

For those advisors who feel like they can’t afford to delegate (a vicious trap), then take these tasks and time block them into a single period each week where you are your own admin. At least this way you will be more productive at the tasks you should have delegated.

How Athena Started

I left IBM in 2006 to “become an entrepreneur”. After going to motivational conferences and reading some Robert Kiyosaki, my 32-year-old self said to herself, “No need to be bound to a large corporation! I’m going to go be free! I’m going to be in control of my schedule and my earning power!” The 48-year-old version of herself today, chuckles. Good job 32-year-old-Gina for swinging out there, because otherwise we wouldn’t be here today, but of course, little did I know what all “being free” was going to take. As wise ones say, “Freedom ain’t free.”

Fast forward nearly 10 years to the beginning of Athena. My father passed away in the early summer of 2015. I got to spend the sacred last chapter of his life with him and then went home and floated through life for a few months until I felt ready to work again. I started getting the word out that I was looking for another business owner or C-suite executive who could use an Executive Assistant. I rustled the bushes of my community looking for a good opportunity.

One day my friend Tiffany said to me, “My boss could really use you.” She made the introduction and soon I was the EA for that CEO. I went to his office once a week to open mail and organize things, but other than that I managed many aspects of his life from my home office.

Some months later Tiffany said to me, “I’m going need you next quarter. I’ll need some EA support. Could you plan ahead for that?” I said,” I don’t really have any more bandwidth right now.” And she said, “Well, just find me someone like you.” Now, Tiffany was a friend of mine and we had a lot of mutual friends and acquaintances. So, I said, “Let’s put our heads together and see who we can think of.” We thought of Dorian. We knew she was unhappy in her current job, and we both knew we would really love working with her. Tiffany said, “Yah! Go talk to Dorian about it. See if she wants to come be my EA. Then we will pay you to be her ‘EA Coach’ and you can coach her to be as good as you while she’s working for me.”

I said, “Tiffany, if we do this, we cannot screw this up. We cannot mess with Dorian’s life. She’s been at her job for seven years. It’s her first real job as a young adult. We can’t mess with her life if she leaves a job and comes to work with us.”

After all the needed conversations, Dorian did leave her job and became Tiffany’s EA. Tiffany’s company paid me a little bit for every hour that Dorian worked, to coach her in becoming a great EA.”

A few months later Tiffany said to me, “There are two directors in the company, and they could really use an EA. It would make them so much more efficient and productive.” I said,” I keep thinking I should open this as a business, but I’m really not up for being an entrepreneur again.” Tiffany said, “Well that’s too bad! You just need to go open this as a business. Get over it and see who you can find who could be the EA for these two directors and start the business.”

I found an old friend of mine, Alison who was currently an EA for a property management company. She was someone I liked and more importantly, trusted. She had a young son and wanted to be home more with him. She shifted gears and said she would start working with us. So, in April of 2016 I opened an S-Corp in the state of Washington, and then took $5,000 to my local Wells Fargo and opened a business account in the name of Athena Executive Services, Inc. In May was our first payroll, and off we went into the future together.

While Dorian is no longer an official member of our team (her client loved her so much they hired her away as a full-time employee!) we still keep close tabs on her. She recently sent us this photo (above) and said, “When you are going for an ultrasound and want your little one to know Athena made her possible.” We know we are just one of many things that made her little one possible, and we are so happy to have been a contribution to Dorian and her family. Dorian wasn’t a business partner on paper, however she was the one who from before Day 1 of Athena opening said, “Ok Gina, you coach me. I want this kind of lifestyle. If you start this business, I’ll do it with you.” And she did. I attribute the four years of partnership with Dorian as one of the major reasons this little owl of a company took off!
